Cancellation policy
Notification of cancellation must be made in writing and sent to info@wolvesacrossborders.com. Only after confirmation of the cancellation, will the cancellation be valid.
Cancellation of registration will be accepted until December 31, 2024, up to which date the total amount will be refunded, except for a cancellation fee of €75,-. We regret that no refunds or reductions of fees will be accepted for cancellations made after December 31, 2024, nor for no-shows or any other reasons.

Change of Name
Should you be unable to attend, you will be given the opportunity to send a colleague in your place.
Please contact info@wolvesacrossborders.com as soon as possible. Name changes are possible until May 21st 2025.

Risk and liability
Participants of Wolves Across Borders 2025 is liable and must take out adequate insurance for their travel, materials (incl. luggage), attendance and participation at the conference. Wolves Across Borders and its organising partners are not liable for any loss of luggage or materials or damage to property caused by the participants of the conference.

Portrait rights
During the conference, photos and videos will be taken, which will be used by the organisation to share the event online and in post-conference communication. By purchasing a ticket you agree that you may be recorded on camera during the event. If you object to this, you can send an email to the organisation and the image material on which you are recognizable will be removed.
Code of conduct
Wolves Across Borders is committed to create a safe, inclusive, respectful and educational experience for every participant joining the conferene. This code of conduct applies to any participants, online and in-person, including but not limited to our attendees, volunteers, sponsors, employees and other service providers. Your participation at Wolves Across Borders 2025 imples that you have read, understood and agreed to the following Code of Conduct.
Rules of our Code of Conduct
By participating in Wolves Across Borders 2025, you are expected to respect everyone at the conference regardless of their gender, race, religion, age, sexual orientation, disability, opinions, feelings, or other aspects of what we look like, where we are from, and who we are.
We do not accept any kind of disrespectful behaviour at our conference. Disrespectful behaviour includes, but is not limited to:

Verbal comments that reinforce social structures of domination related to gender, gender identity, and expression, sexual orientation, disability, physical appearance, race, age, religion, educational or professional background.

Deliberate intimidation and harassment of any form.

Sustained disruption of talks or other activities during the conference.

Unsolicited physical contact.

Advocating for, or encouraging, any of the above behaviours, including inappropriate comments and jokes within a professional setting.

We do not tolerate damage to property, or comsumption of illicit drugs.
At all time, we expect all participants to show respect towards others at all time, including being considerate, cooperative and collaborative with all participants, attendees and staff members.
Participants must always seek explicit approval from those involved before (online) publishing photos, (personal) information, or quotes related to them or their presentation. This ensures respect for each individual's privacy and boundaries. Prior to posting any content that includes another person, participants should clearly ask for consent and confirm whether the content is suitable for sharing. Participants should be mindful of the potential impact such sharing could have on others' reputations or comfort. Respecting the wishes of others is fundamental to fostering a supportive and considerate environment for all.
Wolves Across Borders has a zero tolerance policy for any behavior in breach of our Code of Conduct. Should you see, or be victim of any of the above behaviors, please report it to our organisational team or email to info@wolvesacrossborders.com.
In case of non-observance of our Code of Conduct, the Wolves Across Borders team reserves the right to terminate the participation of anyone joining our conference, including but not limited to our attendees, volunteers, sponsors, employees, without prior notice.
